Vacating

We are sorry that you are considering vacating the tenancy. To help you through the process of vacating, we have prepared an overview of the information that is important to consider or be aware of before you vacate the tenancy.

Termination of the tenancy

Termination of your tenancy must be done using the Temination form via the link below and cannot be done over the phone og mail.

If there are multiple legal tenants, both tenants must sign the termination form using MitID.

Note that termination of your lease is binding and cannot be revoked.

Please note: You have the option to book a free pre-inspection with a Balder inspection technician, who will pay you a visit before your official move-out inspection and provide useful advice on cleaning, cleaning products, and minor repairs.

  • Please note that the meeting is advisory only and does not include a financial assessment.

  • does not guarantee that your final inspection report will be free of remarks.

  • is free of charge.

If you would like to book a meeting, please contact Balder’s customer service at +45 5555 0707. We recommend that the meeting take place no later than one month before the move-out inspection.

Good to know:

What is a notice period?

It is a good idea to contact us well in advance of vacating the tenancy. Under section 11 of the lease agreement, you must terminate the lease with a notice of current month + 3 months, and you must vacate the tenancy no later than 10 full working days before the end of the termination period to allow for renovation of the tenancy.

Example:

If you terminate the lease before 1 April (no later than 31 March), you will be liable for 3 months rent until 30 June. 30 June is the release date from the lease. As we need 10 full business days for renovation, you must have vacated the tenancy by 14 June.

What is a lease commitment period?

Pay attention to any commitment periods that are stated in your lease. For example, if you have a 12-month lock-in period and would like to move out in direct continuation of the 12 months, you must give notice before the end of the 9th month.

What is deposit and prepaid rent?

The deposit is used for renovating the tenancy. If the entire deposit is not used for renovation, the remainder will be offset against the vacating statement. We will endeavour to send you the moving-out statement and pay out any remaining amount as soon as possible – typically within 3-4 weeks from the date of release. You will receive the moving-out statement via email.

You have prepaid rent for either one or three months. The prepaid rent is used for the last month(s) of the lease period. The prepaid rent only covers the rent and, therefore, you must continue to pay the other expenses such as on-account heating and water etc.

When do I stop paying for electricity, water and heating when moving out?

You are liable for electricity, water and heat until the day you are released from the lease agreement.

At the move-out inspection, a final reading of electricity, water and heating will be taken, and the meter readings will be registered in your moveout report. Balder will then inform the suppliers on your behalf.

How are showings arranged during my notice period?

We need a key/key fob for showings during the notice period. The key/key fobs must be handed in no later than 1 week after the lease has been terminated. The key/key fob can be handed over at the property office on the property.

Showings are carried out by Balder's rental team and typically take place between 08:00-17:00 on weekdays. You will be notified no later than the day before.

What is a move-out inspection?

The move-out inspection will be carried out at a time that we will set.

You must bring the following to the move-out inspection:

  • ID (photo ID or digital (active) ID) matching the name on the lease agreement.

  • All keys fobs provided.

  • As a rule, you must attend the inspection yourself as a contracting party. If you are unable to attend for special reasons, you have the option of sending a proxy. If you choose to send a proxy, they must have a power of attorney from you; otherwise, the inspection cannot be completed. You can easily request a power of attorney from Balder's customer service.

At the move-out inspection, you must hand over all keys and key fobs to the property. If all keys and key fobs are not returned, we are obliged to rekey the lock. The cost of this will be deducted from your security deposit.

It is very important that you, or in special cases, a proxy, attend the agreed-upon move-out inspection. If the inspection cannot be carried out as planned and Balder therefore does not have the agreed ten full working days to refurbish the apartment, you will be charged rent for the extra days.

When does my parking space rental end when I move out?

Your parking space will end on the same day as your move-out inspection, and you will only pay rent for the parking space up to and including the move-out date. If you wish to terminate the parking space from an earlier date, you must give notice of the current month plus one month. If you have any questions, you are always welcome to contact Balder’s Customer Service team.

What is a pre-move out inspection?

You can book an initial pre-inspection free of charge ahead of your move-out inspection once you have given notice on your tenancy. During the appointment, a Balder inspection technician will visit you and provide helpful advice on, for example, cleaning, cleaning products and minor repairs, so you are better prepared to get your apartment ready for the move-out inspection. You will also have the opportunity to ask any questions you may have.

After the visit, you will receive an email with our cleaning recommendations and an overview of the areas you should pay particular attention to.

The visit usually lasts around 30 minutes, and you can book it by contacting our Customer Service team on +45 55 55 07 07. We recommend that the pre-inspection takes place no later than one month before the move-out inspection.

Please note that the appointment:

  • is for guidance only and does not include a financial assessment;

  • is not a guarantee that your move-out report will be free of remarks.

  • is free of charge.

What is a vacating statement?

We strive to prepare your vacating statement as soon as possible and expect to send it to your most recent stated email address within 4 weeks of the contractual release date (not the same date as the date of vacating).

Your vacating statement will include the deposit, the cost of refurbishment (the craftsmen's invoices will be attached), any financial outstanding debts, and any amount withheld for water and heating.

If you vacate in the middle of a water and heating accounting period, you will receive a statement for the water and heating shortly after the regular annual accounts have been prepared by the metering company. Therefore, you cannot expect to receive the statement for water and heating along with your vacating statement.

When vacating the apartment, the meter company charges a transfer fee for the final settlement. The fee will be included in the final statement for water and heating.

On the vacating statement, you will also see that we withhold one amount for water and one amount for heating. The amounts are a security for your consumption until the final accounts for water and heating are available from the metering company.

The amounts withheld are based on your previous consumption and the time of year you move out, and they must also cover a relocation fee to the metering company.

When the inventory for water and heat is available, we set off the withheld or water and heating in the statement. If your statement shows that you are entitled to money back for water and heating, you will receive the amount together with the withheld amount. If the withheld amount does not cover the amount you have to pay, you will receive an invoice on the amount due after offsetting against the withheld amount.

Cleaning

The whole apartment must be cleaned, whether you renovate it or leave the renovation to us. Cleaning includes the following:

  • Vacuuming and washing the floor

  • Wiping surfaces

  • Wiping of doors and sills

  • Cleaning built-in cabinets

  • Cleaning and descaling of bathroom (toilet, tiles, fixture, sink, and shower)

  • Cleaning and descaling appliances (hob, oven, cooker hood, cooker hood filter, refridgerator/freezer, dishwasher, washer and dryer)

  • Drain cleaning

  • Cleaning windows inside and outside

  • Any room in the basement must be emptied

  • Anyburnt-out bulbs must be replaced

Miscellaneous additional costs:

  • Removal of left behind curtains, slats and/or blinds

  • Removal of any items left in the tenancy and room in the basement

If you have not cleaned the above, significant costs may be incurred.

Refurbishment

According to Section 11 of the lease, the rented flat must be handed over in the same condition as it was received. The assessment of the condition of the rented flat is conducted at the move-out inspection. During the inspection, our inspector will review the flat with you or your representative, and a move-out report will be prepared. If the rented flat is not handed over in the same condition as it was received, Balder will commission renovation work from external vendors. The move-out report will state which work, if any, is to be carried out at the tenant's expense.

We recommend that you have the flat refurbished by tradesmen appointed by Balder. Balder has no financial gain from being responsible for the refurbishment. We re-invoice the actual costs from the tradesmen, which you can see on your moving-out statement. Below, you will find a price list, including VAT, for the work included in a refurbishment:
